Strong communication helps processes get completed faster and with less mistakes. The discussion feature is available to both admins and applicants and is home to all communication about an individual process.

If you're an applicant

Just click on the "Discussion" button at upper right when you have a process open to submit a question to the local government that created the process.

If you're an admin

Use the Discussion feature to ask applicants a question, or talk to the other admins on the workflow about this specific process.

A general Discussion will notify the applicant and other admins. You can use this type of discussion to ask questions, make requests, and relay information to an applicant without having to send emails or make phone calls.

Example: An applicant has submitted erroneous information, and you'd like them to correct the mistake.

In this case, simply:

  • Click the Discussion link in the upper right-hand corner of the active process view
  • Click the New Discussion button
  • Make sure the dropdown box has Discussion selected and not Internal Discussion
  • Type your request and click Start discussion

The applicant will then be notified of the new discussion, and will be able to reply.

Internal discussions

Internal discussions are viewable only to process admins. They're useful for discussing potentially sensitive matters that the applicant does not need to see.

Example: You're scoring an applicant's submission, and you'd like feedback from your fellow team members.

In this case, simply:

  • Click the Discussion link in the upper right-hand corner of the active process view
  • Click the New Discussion button
  • Click the dropdown box and select Internal Discussion
  • Type your request and click Start discussion

Only other process admins will be notified of and able to view this discussion.
