CityGrows lets you, our admin users (government staff members) customize the emails you receive from CityGrows. Email settings are linked to each workflow and Team, so you can set one set of rules for your government's Business License, and another set of options for Dog Licensing - if you're an admin on both those workflows. Only admins can customize their email settings (applicants that have applied for a permit or license can't turn off notifications from CityGrows).

Each workflow and team has a set of default email settings. Most types of emails are turned off (we know most people don't need more email in their life) but a few are set to On. You can change the Default settings from your Account settings.

To access these settings, first select the Account icon at top right, then select Account Settings, then Email Settings.

Here's a screenshot of all the email types for a sample workflow and Team, along with the defaults. You can keep the Default setting or turn each type of email on or off.

Here's a description of what each setting controls and the default setting. Currently each CityGrows user must set these notifications for themselves for each workflow. Shortly senior admins will be able to set these on behalf of other CityGrows users.

Workflow emails:

Assigned to a process:

Default Setting: On

When it's triggered: If another admin assigns you to an individual process via an Assign Someone step or the Menu assignment option.

Charge disputed

Default Setting: On
When it's triggered: If an applicant disputes a payment charge that appeared on their credit card. You can manage charge disputes on the CityGrows platform.

Discussion opened/updated

Default Setting: On
When it's triggered: Each time an admin or applicant starts or contributes to a Discussion.

Process advanced a step

Default Setting: Off
When it's triggered: Each time each application advances one step. Not recommended for high volume workflows.

Process completed

Default Setting: Off
When it's triggered: When the last step of a process is completed. Applicants always receive the Completion email when a process is over but it's not set to send to Admins unless this setting is changed. Please note that someone can be added as an admin to a process and then set all other notifications to Off so that the only notification they receive is when the process is completed.

Process started

Default Setting: Off
When it's triggered: When someone starts a new instance of a workflow/ a new process.

Process ready for review

Default Setting: On

When it's triggered: When a process is ready for a reviewer. Only sent to the person or people on the next Review step.

Supplemental payment made

Default Setting: On
When it's triggered: When an additional payment that had previously been requested has been made by an applicant.

Team Emails:

Organization edit requested

Default Setting: On
When it's triggered: If you're using the Organization features and have set an Organization field in a workflow to allow edit suggestions from applicants, the system sends an email when one of these suggested edits has been submitted.

Payout sent

Default Setting: On
When it's triggered: Each time there's a payout (a financial transfer between your Team's Stripe account and your government's bank account).
